Key Duties
Logistics Coordination

  • Identifying, negotiating and selecting host and optional hotels
  • Continued liaison with hotel for speaker, sponsor, delegate & conference requirements related to guest rooms, meeting package, conference/function set up and menu selections
  • Speaker, Sponsor liaison which includes invitations, follow up, and management of requirements
  • Supplier Liaison which includes sourcing of suppliers and comparing quotes for selection of the most suited supplier
  • Coordination of production items with the supplier including coordinating sponsor approvals on production items and delivery schedules
  • Onsite logistics of speakers & sponsor requirements
  • Onsite logistics of signage, audio-visual, ballroom, conference documentation requirements
  • Other areas as needed

Marketing Coordination

  • Media sponsorship invitations, liaison and management
  • Artwork preparation for advertisements, event summaries or blogs with Media Sponsors
  • Marketing Statistics and Analysis
  • List Research and Building
  • Communication with prospective delegates
  • Sponsorship and Exhibition Marketing
  • Other areas as required.

Requirements

  • Detailed oriented, hardworking & willing to learn
  • Able to pick up from training provided and work semi-independently
  • Direction will be provided as needed
  • Diligence & persistence are expected
  • Should be a diploma or degree holder
