The incumbent coordinates the training program for all seafarers to ensure timely and effective service delivery by training institutes or service providers; Management all training administration and documentation to facilitate analysis and report writing; keeping track of and process invoices and ensure that the timely payments are made within the credit period; provide necessary support and logistics arrangement for all seafarers during all assigned training programs.
Liaise with training institutes for training plans. Coordinate all relevant training programs planned, contact and arrange officers for training. Plan and coordinate to ensure that officers comply with the training matrix.
Monitor relevant training programs organized on shore and report on status of officers attending the training programs, collate and consolidate training evaluation.
Process necessary documents required for study grant approval. Ensure that the study grant is disbursed appropriately and installments are made according to the agreed payment schedule. Monitor and ensure that the Officers fulfil the study grant bond period.
Follow up with the Officers to determine their progress with their studies.
Plan, coordinate and confirm the reservations for flights, hotels and other services for officers related to attending training either locally or overseas to consolidate the expenses and ensure cost optimization.
Plan, coordinate, schedule and make travel and accommodation reservations for the Training team.
Keep track and process invoices (PO creation). Monitor and ensure that payments are made within the credit period.
Update officers’ and cadets’ training record, training schedule and other training related data into CMSS accurately and timely to support training analysis and report writing.
Monitor and follow up on officers’ training certificates with training centres and evaluation form from participants to ensure all documents are available for record keeping and office’s future reference.
Prepare monthly training status reports for record keeping and audit purposes (eg. TMSA, MRM)
Submit monthly financial accrual report and ensure that all goods and services used are accounted for.
Assist in organizing and coordination of the Senior Officers’ Conference, Junior Officers’ Workshop & Ratings’ Seminars as required
Diploma or Degree in Business Administration/Human Resources
At least 2 years in support role in Learning and Development department
Preferably with experience in shipping related business
Knowledge and experience in MS Office
Good interpersonal skills
