Responsibilities:

Human Resource Function

  • Prepare Employees Payroll (Using EasyPay System), all payroll admin information (Preparation of Timecard) and submit CPF & FWL to CPF Board monthly
  • Process EP/WP/SP, PR application for new/old employees
  • Process IR8A for employees using Auto-Inclusion
  • Updating daily and monthly leave record, lateness, and staff personnel records.
  • Preparation of all HR related letters
  • Coordinate with all recruitments (including foreign workers) and conducting orientations to new hires
  • Employee training processing and SDF grants and claims
  • In charge of Benefits Claims (Sport & Recreation, Vacation, Dental and etc) from all staff.
  • Full confidentiality on all HR information
  • Establish and conduct annual performance and Salary Review, enabling successful development training and successful retention of employees
  • Refine Employee handbook and review opportunities for continuous improvement on HR policies & procedure
  • Maintained goods knowledge of Singapore Labour Laws, ensuring total compliance
  • Review and implementation of new policies and procedures to further enhance the functionality of the existing system
 

Administrative Function

  • Personal Assistant to MD
  • Screening of calls to MD and attending to guests
  • Answering all incoming calls and transfer to respective staff
  • Take down appointment and arrange for interviews for Managers and Directors
  • Adherence to ISO procedures on all documentations. Support in achieving full implementation of ISO9001:2008 documentation system.
  • General Filing (Contracts, Outgoing/Incoming Email, Faxes and etc)
  • In charge of Stationeries Purchase
  • Booking of Hotel, Air Ticket and Visa application for employees
  • Reading through all incoming emails and forward to respective department
  • In charge of maintenance with vendors on office machines/contracts
  • In charge of Company Transportation, Newspaper, Security & EPM (daily cleaning, dustbin collection 2 times per week) Toilet Rolls Purchase.
  • In charge of all company keys, open and shut the office doors and pantry door at 2nd floor in the morning and after work.
  • Organize events and company activities.
  • Update and distribute company's Vietnam’s contact list, email and Skype ID when there has any changes.
  • Coordinate with Company Subsidaries on all HR/Admin related issues/policies to ensure smooth flow of information dissemination that may affect both sides.
  • Update MD Activities Schedule in Management Drive
  • In charge of Minutes of Management Meeting.
  • Make announcement to every Department Head via email about staff resignation if have.
 

 

Requirements:

  • Candidate must possess at least a Professional Certificate/NiTEC, Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, any field.
  • At least 2 year(s) of working experience in the related field is required for this position.
  • Preferably Junior Executives specializing in Human Resources, Secretarial/Executive & Personal Assistant or equivalent.
  • Full-Time positions available.
  • Able to Start immediately or in short notice
  • Provided Transport from certain pick up point (Bukit Batok MRT-Chinese Garden MRT-Lakeside MRT-Boon Lay MRT-Pioneer Mall)
  • Working hours: 8.00am – 5.00pm (Monday to Friday)
  • 8.00am – 12.00pm (Alternate Saturday off)
