Job Descriptions

Summary of Responsibilities

The main responsibilities and tasks of this position are as listed below, but not limited to these:
Revenue Control
  • The AE is responsible for the accurate and complete accounting of the Hotel’s revenues
  • To review and ensure that all reports submitted are prepared correctly
  • To review the Income Audit section’s work.
  • To troubleshoot Front Office and Food & Beverage charges with Rooms and Food & Beverage department respectively and report to the Financial Controller accordingly, when problems arise.
  • To prepare Income Journal from FO to GL before postings into theSUN system. Make adjustment journals where necessary after investigations by the Income Audit staff.
  • To prepare ad-hoc analysis reports when required by the Financial Controller or the General Manager.
  • To ensure all lease/deferred income are charged correctly to GL monthly.
  • To prepare GST and CESS returns.
  • To assist in the preparation of Budget and Forecast.
  • To prepare Month-end GL closing and ensure that the closing is promptly carried out and in accordance to schedule.
  • To assist in statutory reporting.
  • To assist in the analytical review of accounts.
  • To attend to other departments on accounts enquiries.
  • To co-ordinate contra entries between AR and AP sections.
Rooms Sales
  • To reconcile the total monthly revenue
  • Check on PF & PX folios & follow up on Unknown Charges
  • Check on Upsell Incentive and SPA commission.
Food & Beverage Sales
  • To reconcile the total monthly revenue.
  • Breakdown of BQT Seminar Packages & other functions against Event Order
  • Check Void / Refund Check Control Sheet
Minor Operated Department (MOD) Sales
  • To ensure that MOD sales are accurately recorded.
  • To account for all vouchers’ serial number to ensure that no voucher is missing.
  • To check that vouchers which are void are properly approved.
  • To file all checked vouchers according to serial number for easy future retrieval.
Allowance and Paid-Out Vouchers
  • To check that all allowance and paid-out vouchers issued comply with the Hotel policies to ensure that no unauthorized credits are given to guests
  • For encashment on credit cards, ensure that the corresponding service fee is charged and a copy of the credit card charge slip signed by the guest is attached to the paid-out voucher.
Cash Receipts
  • To collect launderette tokens to be reissued to the Front Office staff
Preparation of Reports
  • To prepare the Hotel’s Daily Flash Report on a timely basis for the Management Meeting every morning (Mondays to Friday)
  • To prepare the monthly Form H-RMFB for submission to the STPB after approval by the Financial Controller.
  • To prepare Discount Report Summary.
  • To prepare Tips Report.
  • To prepare SPA commission report.
  • To process commission payment to travel agents only when properly supported by the listing of Travel Agent Commission statement which is printed and prepared by the Credit/AR Section
  • To monitor and liaise with the tenants to ensure daily statements, monthly certificates and annual financial statements are properly delivered and that rental income is properly computed.
  • To perform any other duties assigned by the Assistant Financial Controller or Director of Finance & Business Support.
Main Daily Duties:
  • Prepare Daily Income Journal.
  • Review To review the Income Audit section’s work.
  • To conduct surprise checks on the Cashier’s cash float to avoid manipulation of funds.
  • To review General Cashier’s paper work.
Room Sales
  • FO paperwork balancing for Credit Cards.
  • FO paperwork balancing for other revenues.
Food & Beverage Sales
  • To check that gift vouchers issued and consumed at outlets are properly authorized and any amount in excess of the gift voucher is charged to the guest.
  • Check all ENT & OC are issued out in accordance to the Hotel’s policy & procedure.
  • Check and verify reasons for all Void & Refund for the day.
  • Audit of credit cards
  • Outlet guest checks balancing & verification of all Discounts for the day.
  • To report to the Income Auditor all cases of unauthorized use of meal coupons with explanation from the Restaurant Manager and the Outlet Cashier
Allowance and Paid-Out Vouchers
  • To check that all allowances and paid-out vouchers issued comply with the Hotel’s policies to ensure that no unauthorized credits are given to guests
  • To examine vouchers for numerical sequence and missing checks. If any irregularities are noted, investigation should be done immediately.
Minor Operated Department (MOD) Sales
  • Reconcile token sales from Cashier with tokens in hand.
  • To examine vouchers for numerical sequence and missing checks.
  • To tally total amount of sales recorded in the summary sheet against the total amount of vouchers
Qualifications:
We are looking for a well organized and creative candidate with excellent communication and interpersonal skills, who is able to display a “passion for perfection” and work in a dynamic environment. In addition, the candidate should possess:
  • Computer literate in Microsoft Window applications and familiar with MICROS OPERA hotel system
  • Diploma in a related discipline an asset
  • Excellent communication and organizational skills
  • Strong interpersonal and problem solving abilities
  • Highly responsible & reliable
  • Ability to work cohesively with fellow colleagues as part of a team
  • Ability to focus attention and courteous at all times
  • Experience in hospitability industry is preferred
