DUTIES: Plans and conducts management studies and surveys to evaluate the effectiveness of present methods and procedures to improve efficiency and productivity of various support functions. Recommends solutions using principles of work simplification, workflow, position management, layout analysis, plus the incumbent’s own inventiveness, ingenuity and originality. Prepares internal directives and reports. Assists with departmental budget, prepares funding documents and work orders. Support Department Head in the areas of program cost monitoring and annual fiscal planning. Assists with planning and administering the operation of the Administrative Department. Drafts, reviews and tracks all forms of correspondence for the organization. Develops and maintains organizational charts, manages activity and regional phone listing, calling trees and recall listings. Track activity and tenant activity manpower assets. Serves as Official Mail Manager.

SPECIALIZED EXPERIENCE AT SN-06 LEVEL is defined as experience which equipped the applicant with the particular knowledge, skills and abilities (KSA’s) to perform successfully the duties of the position that is in or directly related to the position to be filled. The successful applicant for this position will have limited experience working with instructions and procedures pertaining to administrative and correspondence procedures and properly prioritizing daily workload. Experience with the operating of computer software applications, such as Microsoft Word, Microsoft Excel and Microsoft PowerPoint, and computer terminal equipment.
SPECIALIZED EXPERIENCE AT SN-07 LEVEL is defined as experience which equipped the applicant with the particular knowledge, skills and abilities (KSA’s) to perform successfully the duties of the position that is in or directly related to the position to be filled. The successful applicant for this position will have detailed experience working with instructions and procedures pertaining to administrative and correspondence procedures and the ability to properly prioritizing daily workload without oversight. Detailed experience with administrative responsibilities as related to analytical and administrative support functions. Experience with accounting systems and budget planning without supervision. Experience working with and training subordinates, peers, and superiors.

TIME-IN-GRADE REQUIREMENTS (TIG): A minimum period of 26 consecutive weeks in grade is required for eligibility for promotion to the Singapore National (SN) pay table grades SN-02 through SN-04. A minimum period of 52 consecutive weeks in grade is required to be eligible for promotion to the next higher grade within SN-05 to SN-12, inclusive.
