Job Descriptions

  • Manage and oversee the maintenance of office space and facilities
  • Ensure proper planning of office facilities for optimal utilisation of facilities
  • Supervising the office assistant and external contract service providers
  • Continuously enhance the smooth operation so as to maintain a pleasant working environment
  • Ensure the smooth running of daily office operations and facilities
  • Supervise the Receptionist, Administrative Assistant and Office Assistant
  • Ensure that the workload is evenly distributed and that their support functions run smoothly
  • Responsible for equipment custodianship such as used mobile phones & ensure proper disposal/sale in accordance to company policy
  • Responsible for petty cash float assigned and exercise due diligence with its use
  • Make arrangement for food and/or snacks purchases for group meetings where required.
  • Procure office equipment and office supplies which include sourcing and price negotiation, to ensure that these services are cost-effective
  • Manage and oversee the maintenance of office equipment and to ensure that there is adequate office supplies
  • Formulate and enforce administrative procedures and document standard administrative procedures and policies
  • Manage the daily operations of the telephone system including telephone recording and to provide a timely and accurate monthly telephone reporting
  • Manage the daily operations of the telephone system by overseeing the duties of the receptionist
  • Provide secretarial support to the SVP, Corporate Services and the CS team where required.
  • Typing of memos, dispatch of documents, filings, photocopying and other administrative tasks


  • Diploma/Degree holder
  • At least 5-8 years of relevant working experience in office administration
  • Good proficiency in MS Word, Excel, PowerPoint
  • Good communication and interpersonal skill
  • Independent and self-driven, meticulous and positive work attitude
  • Good time management skills, able to prioritize work and ensure efficiency
  • Good team player with effective listening and response skills
