Job Descriptions

Working closely with other team members in the Procurement department, the Procurement Executive reports to the supervising Head of Administration in a fast-paced dynamic environment of an international school. The organisation comprises of two campuses in Singapore, and this role supports the daily operations to ensure a high standard of services for our community.

Job Responsibilities

  • Responsible for sourcing, negotiating and purchase of all travel related products (bookings, ticketing, hotel arrangements, etc.) from both local and overseas travel partners

  • Evaluate vendor’s quotation to ensure that they are in-line with the specifications required for all trips

  • Advise internal and external stakeholders on issues regarding trips, including but not limited to coordinating with legal and finance departments

  • In charge of daily operational travel needs such as planning, issuing and following up on Purchase Orders, delivery and travel schedules

  • Resolve supply, quality, service and invoicing issues with vendors

  • Evaluate supplier performance based on quality standards, delivery time & best prices and ensure all the criteria are met according to the organisational requirements and expectations

  • Responsible for suggesting changes for internal procurement strategies to cater for efficient delivery and short lead time requirements

  • Work with team to develop and implement procurement strategies

  • Discover reliable and well-priced suppliers, initiate and develop business partnerships to foster efficient and effective integration with the organisation’s needs

  • Negotiate with vendors to secure best possible outcome for the organisation

  • Work with other departments to manage tenders for large contracts

  • Collaborate with requestors to ensure that all requirements and scope are taken into consideration

  • Initiateprocurementordering and managing the process till completion

  • Set-up and regularly maintain Preferred Vendor Listing

Job Requirements

  • Minimum 4 years of working experience in similar positions, preferably in the education sector

  • Degree/Diploma in Procurement, Quantity Surveying, Engineering, or business-related disciplines

  • Able to think logically and formulate processes

  • Strong analytical and negotiation skills

  • Attention to detailand meticulous with numbers

  • Excellent communicator and able to work well with both external and internal stakeholders

  • Positive work attitude and high level of integrity will be essential

  • Able to work independently as well as in a team

  • Able to multi-task and deliver results in a fast-paced environment

  • Familiar working in Google platforms, Microsoft Office and/or Mac OSX productivity apps
