Job Descriptions

  • Follow-up with clients after program delivery, building the relationship and ensuring that concerns are aired and action plans put into place to resolve any issues.
  • Review programs and suggest improvements and enhancements to maintain program relevance for the client.
  • Book following program dates with the client.
  • Work with the Program Director to ensure that the client programs are designed to match the requirements of the client.
  • Work with Finance and Office Manager to ensure that the invoicing and other related administrative tasks are completed in a timely and professional manner.
  • Contracting / Agreement: Drafting, Legal sign-off, Sending and follow-up with client.
  • Invoicing: Interaction with Finance, Sending to client, follow-up, chasing payments, recording payments.
  • Facility Booking: Lecture Rooms, Break-out rooms, Catering, Car-park, Transport, etc.
  • Briefing Materials: Faculty and Admin briefing materials.
  • Program timetable: details of schedule, lecturers, catering, participants, guest speakers, etc.
  • Participant coordination: Mailing lists, pre-course communications, capturing contact information for all participants (participant database).
  • Participant Feedback: Assessment distribution, collection, analysis, feedback and discussion with client, feedback to Faculty.
  • Payments required to be made by client program.
  • Ensure that the communications with the client are seamless and coordinated.
  • Supporting the Program Delivery team to ensure that client program experience is of the matches / exceeds the client expectations.
  • Preparation of materials and logistic arrangements prior to the program.
  • Faculty Materials Management: Ordering Cases (e.g. HBR), ensure royalties are paid, receiving materials, uploading materials, database management.
  • Maintaining an up-to-date database of faculty and course materials (digital database); with particular attention to version control, IP ownership and indexing to facilitate ease of future retrieval and searching.
  • Coordinating (or providing) Faculty Materials Production Support.
  • Binder (digital or physical): Preparation (what are all the elements that need to be included), Production (external or internal), Uploading onto program specific site (creation of site, removal or maintenance post program).
  • Participant coordination: Prepare and send out Info pack and pre-course communications.
  • Participant (pre-reading materials, welcome packs, pre-program instructions, logistics information).
  • Print certificates and Info Packs.
  • Assignment to break-out groups.
  • Coordination with necessary internal department for AV support, security and IITS as and when required.
  • Contribute to the general morale and professionalism of the SMU-ExD team.
  • Degree or Diploma with 3 to 5 years’ of work experience.
  • Relevant work experience would be advantageous, but not necessary.
  • Resourceful, confident, organized meticulous and responsible.
  • Proficient in Microsoft Office applications.
  • Strong communication (both written and spoken) and interpersonal skills.
  • Strong Service orientation.
  • Able to work positively, productively with diverse agencies/companies/colleagues in an environment of rapid change.
  • Able to work under pressure, multi-task and complete tasks within short deadlines.
  • Team Player.
  • Responsible and responsive - Must have a great sense of responsibility towards work and be quick in responding to participant and requests from Faculty.
  • Project Management skills.
