Settlement Operations (Mutual Funds)

 

To provide support to various Private Banking branches in the processing of Mutual Funds settlements, transfers & custody services.

 

Job Description : 

  • Accurate and timely processing of mutual fund order placement   
  • Chase confirmations and follow up unsettled transaction with custodians   
  • Ensure that transactions are done in and in accordance with bank procedures, desk instructions, compliance and regulatory requirements.  
  • Accurate update of client’s securities holdings in the bank’s system and correct reflection of holdings in clients’ consolidated statements.  
  • Process clients’ transfer instructions (Receipts & Deliveries)  
  • Liaise with Fund Managers to define operational process between MF Ops and Fund houses.  
  • Book and reconcile trailers fees  
  • New security/product set up in the bank’s system   
  • Prepare internal/external/regulatory reports. 
  • Provide administrative support for the team.  
  • Handle ad hoc projects as assigned.  
  • Track/log cases of Custodians

 Job Requirement :

  • Good product & banking knowledge.
  • Familiar with mutual funds / hedge funds / private equity
  • Adhere to regulations/requirements/procedures.
  • Understand international market practice in Securities Business.
  • Diploma in Banking & Finance or above

Client Documentation (Account Opening)

 

To ensure that the client account opening documentation are reviewed for completeness and in compliance with the bank policies and regulatory requirement. 

 

 

Primary responsibilities across all team:

 

  1. Ensure that client account opening documentation are complete and in compliant with the bank’s policies and regulatory requirements and that such reviews are completed and accounts opened within agreed Service Level and in compliance with the Bank’s procedures, policies and regulations.
  2. Provide guidance and clarifications to Hub counterparts where required
  3. Adhere to the agreed KCSA plan and approach, and support plan testing and/or ensure proper record all KCSA related activities
  4. Take on additional responsibilities as required and communicated by Team Leader or Head of Spoke
  5. Maintain good liaison and communications channels with all levels of management and departments to ensure seamless flow of information, work and customer service delivery and satisfaction.

 

Account Opening Documentation 

  1. Receive and review client account opening documentation (AOD) and other key supporting documents for both individual & corporate clients.
  2. Ensure the AOD is complete and correct and with all required information and signatures.
  3. Ensure all the supporting documents are clear and legible and verified according to the bank’s CDD procedures.
  4. Ensure compliance approval is in place with all necessary documents in order to open the account.
  5. Work closely with Middle Office and Compliance team to expedite and ensure account opening is done within the TAT.
  6. Liaise with internal legal counsel for any queries and issues on the documentation before opening the account.
  7. Advice the RM/MCS on the documentation queries.
  8. Record and monitor relevant approvals are in place for account opening with any incomplete documentation.
  9. Follow up with the RM/MCS to close the document gap and report the gaps in the monthly escalation report promptly
  10. Keep track of all the new policies and procedures issued by Private Bank and ensure the documents submitted for account opening are in compliance with the Private Bank policies & procedures

Operational Risk & Internal Control (Client Control) 

 

Responsible for the key set of controls and reviews over the wide variety of non-financial transactions initiated by Private Bank before they are handed off for system processing.

 

Job Description :

Primary Responsibilities:

  1. Verify and ensure the non-financial transactions are processed in compliant with bank policies and procedures and local regulations
  2. Monitor and provide oversight to overseas Hub on outsourcing activities and performance to ensure transactions processed in good quality and timely.
  3. Provide guidance and clarifications to Hub counterparts
  4. Adhere to the agreed KCSA plan and approach, and support plan testing and/or ensure proper record all KCSA related activities
  5. Take on additional responsibilities as required and communicated by Team Leader or Head of Spoke
  6. Customer-centric by working closely with front, middle & back office.

Client Static Data:

  1. Ensure pre-processing checks are in order before authorizing overseas Hub to proceed with all system update.
  2. Ensure completeness and accuracy of instructions before processing in all downstream systems.
  3. Ensure the documents received are correct and complete before archival.
  4. Keep abreast of risks & controls and ensure that processes are aligned.
  5. Coordinate with Spoke Operations, Compliance, Middle Office, Relationship Manager, Support staffs for account setup, static data maintenance, account closure, periodic reviews etc
  6. Adhere to all required controls and procedures as detailed in the DOI.
  7. Support the Team Leader on the various monthly reports submission for the team.
  8. Ensure timely follow-up and/or escalation to stakeholders.
  9. Continuous improvement in productivity to the standards prescribed for the processes from time to time
  10. Maintain a positive working relationship with personnel of other sections and divisions of the bank.

 Analyst (Controls & Investigations) 

 

The position sits within the Controls & Investigations (C&I) team in support of the Singapore Global Private Bank Securities Operations Hub (SG GPBSOH) as part of the wider Private Bank Operations (PvB Ops) team and will be primarily responsible for:

-          Performing accurately and timely investigation/analysis on outstanding unreconciled cash and security breaks within Private Bank Suspense, Sundry, Nostro & Depot accounts.

-          To escalate all outstanding reconciliation breaks and to work with SG GPBSOH & PvB Ops stakeholders for resolution on a timely basis.

-          Identify process improvements within C&I, SG GPBSOH and PvB Ops.

 

 

Job Description :

 

Cash Breaks Investigations 

  • Validation of daily SG GPBSOH cash activity within the various Private Bank (PvB) Suspense, Sundry and Nostro accounts.
  • Investigation of cash open items for identification & management of discrepancies.
  • Monitoring & follow-through on break reasons and resolution actions with PvB Ops stakeholders.
  • Daily management reporting on cash statuses and statistics.

  

Security Breaks Investigations

  • Investigation of monthly stock position breaks with custodians/fundhouses.
  • Determination of break reasons & rectification actions for timely resolution with PvB Ops stakeholders.
  • Follow-through & validation of rectification actions by PvB Ops stakeholders.
  • Management of break statistics.

  

 

Operations Officer (Controls & Support) 

  • Provide administrative & controls support to SG GPBSOH operations.
  • Identify process improvements within the Controls & Investigations team as well as SG GPBSOH.
  • Participation and handling of ad-hoc projects and assignments.

  • A relevant Diploma or University Degree in Business, Accountancy, Banking related fields
  • 1-2 years experience in securities operations / reconciliation & investigations or operations line control functions within a bank/financial institution would be preferred.

The position sits within the Singapore Global Private Bank Securities Operations Hub (SG GPBSOH) as part of the wider Private Bank Operations (PvB Ops) team and will be primarily responsible for:

-          Setup of security codes in Private Bank back office systems for new securities.

-          Maintenance and updating of securities static data to ensure up-to-date information.

-          Securities price sourcing and maintenance.

-          Identify process improvements within the securities static data maintenance realm as well as within the wider SG GPBSOH and PvB Ops scope.

 

 

Job Description :

 

New Security Setups

 

  • Setup new securities in Private Bank back office systems for various products types within deadlines
  • Effectively use external data systems (Bloomberg/Telekurs) to ensure setups with correct and updated details.
  • Ensure that setups are in accordance with SG GPBSOH standards and guidelines.
  • Liaise with SG GPBSOH stakeholders and external data vendors for resolution of any discrepancies/errors.

  

Maintenance of Securities Static Data 

  • Ensure up-to-date securities data is maintained within the Private Bank back office systems, including up to date prices obtained through Telekurs or manually, reactivation and deactivation of securities, ISIN updates
  • Liaise with SG GPBSOH stakeholders and other Private Bank data field owners for relevant updated information and resolution of discrepancies/errors.
  • Regular review of securities data against other Private Bank static data systems and product/risk owners to capture any data changes including LTV updates, PRC and PAC.
  • Preparation of reports to escalate exceptions items, such as stale pricing reports, etc;

  

Price Sourcing and Maintenance 

  • Ensuring up-to-date mark-to-market prices are maintained in the Private Bank back office systems.
  • Sourcing of prices for exception items with stale/no price. 
  • Liaise with SG GPBSOH and other Private Bank stakeholders for relevant price information. 
  • Preparation of escalation reports for price exception securities..

 

Job Requirement :

  • A relevant Diploma or University Degree in Business, Accountancy, Banking related fields

  • To responsible for preparing and checking of the facility and security documentation to ensure the terms and conditions are correctly reflected as per credit applications approval prior to execution of the documents by the Private Banking clients.


    Primary responsibilities across all team:

    • Preparing and checking of the facility and security documentation to ensure the terms and conditions are correctly reflected as per credit applications approval prior to execution of the documents by the Private Banking clients.

    • Liaise with internal & external legal counsel on foreign legal opinions and registration of security charge.

    • Ensure credit and management conditions are met before limit setup.

    • Record & monitor document receipt at Credit Doc team and track & follow up pending credit documentation.

    • Knowledge in property mortgage process including liaising with valuers & insurers.

    • Ensure that property and insurance redemption are promptly and properly attended to and that all outstanding are paid off prior to release of our security / title deeds ad insurance policy.

    • Ensure the proper safekeeping of facility / security documentation and credit the maintenance.

    • Support, update and revise procedures with the aim of improving the workflow among inter-departments and within the department.

    • Support and assist credit doc team in documentation requirements and any adhoc projects.
