Our Japanese client, an international metal trade corporation headquartered in the central business district of Singapore, is looking to fill the role of Mid/Back Office Support Staff. Candidate is expected to support global shipping and delivery operations.

The Executive reports to the Assistant Manager, Head of the Middle & Back Office division. He/she conducts the company’s shipping administration efficiently; to ensure that trade between the company’s customers and suppliers is conducted smoothly and with minimal interruptions.


1. Administer to the Company’s Shipping Administration

Shipping and Delivery (70% to 90%)

- Act as liaison between customers, suppliers and other Mitsubishi Corporation branches/subsidiaries on shipment, documentation and payment arrangements

- Ensures shipping documents for custom clearance, cargo and inspection are filled as per customer requirements

- Prepare transportation, letter of credit, customs declaration, invoices and other documents for the importing and exporting of products

- Coordinate shipping and associated documentations and resolve any outstanding issues

- Monitor customers’ remittance and payment to suppliers to minimize interest payments

- Share knowledge and experiences on shipping and deliveries with other colleagues to build more skilled team.

General Administration such as:-

Administration (10% to 30%)

- Collect and assemble data from Mitsubishi Corporation branches/subsidiaries

- Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software.

2. General Administration (less than 10%)

- Book accommodations, meals, and transportation for business trips as well as meeting/events with customers, clients and suppliers

- Filing and retrieving of corporate documents

- Track necessary records and completed forms as well as other supporting functions such as ordering stationaries

- Creation, issuance and filing of Disbursement Instructions related to General Expenses

- Foster good relationship between the Company and all vendors

3. Support the Supervising Manager in all issues related to Division Administration

4. Perform other related duties as required during working hours


The incumbent must have proficient knowledge in the following areas:

- At least 2-3 years of experiences in shipping and delivery in International Trading

- Trading Business (such as flow of international trading, L/C, Security Trade Control, Internal Control)

- Basic use of IT equipment and programmes, such as E-mail and internet functions

- Administrative software including word processing, spreadsheets and presentation

- Sales Distribution module and/or Material Management module (“SD/MM”) of SAP R/3 (Highly recommended)

- An understanding of the economic, cultural and political environment that the company may confront
