Responsibilities

General duties

  • Manage the entire procurement process, i.e., from raising RTP to receiving of goods/ services and updating goods received and invoice details into the system
  • Manage Department’s calendar, appointments etc
  • Manage department’s fixed and expendable assets, scanning / filing of correspondences and documents (e.g., FA & EE reports, CVRs, photocopier usage reports, checking and receiving of goods received, materials from external courses etc.)
  • Word processing and data entry work (eg. for risk registers, Key Risk Indicators, insurance, compliance)
  • Clerical and admin duties for RMD - answering telephone calls, submitting reimbursement claims, medical certificates etc
  • Office logistics and other arrangements (e.g. tracking office supplies and replenishing them, contacting office services property when there are breakdown/ maintenance issues, mail collections, ordering and sending of diaries, arranging of courier services, arranging for cleaning of carpets, etc )
  • MPS Department Administrator (Track usage of printer/photocopier and ensure maintenance of the machine)

 

Risk Management and Sustainability Reporting

  • Assist in preparing for Board Risk Committee (BRC) meetings (ensuring the Boardroom is ready for the meeting, arrange for uploading of slides for presentation and ensuring they are properly uploaded, )
  • Assist in compiling and collating papers for BRC meetings
  • Assist in doing up the power point slides for presentation
  • Coordinating and scheduling of Divisional Risk and Sustainability Reporting Review meetings
  • Collate information received, scan and manage the filing of papers/documents for BRC and Sustainability Reporting  in DMS
  • Extract audit issues from audit reports into excel spreadsheet
  • Coordinate and track contents of Risk & Compliance portal
  • Assist in gathering information for the Environmental Scan (a standing agenda item for BRC meetings). This involves research on corporate governance areas such as compliance and regulatory, IT risks, tracking local and internal news on emerging risks and opportunities and preparing the powerpoint slide.

 

 

Insurance

  • Attend to queries and requests for Certificate of Insurances (Public Liability, ISR, WIC etc, there were on average 60 to 70 requests per year).    
  • Work with divisions and broker to secure additional insurance coverage when staff travels to high risk countries (average 10 to 15 cases per year)
  • Prepare word documents and excel templates for divisions for renewals or enhancement of insurance policies
  • Track deadlines for submission of information for renewal and send email reminders  to chase for information
  • Collate information received for insurance renewal
  • Manage the filing of scanned softcopies and hardcopies of insurance policies, endorsements, coverage summaries in DMS and physical files
  • Send invoices, credit and debits notes from insurance brokers, insurers, suppliers etc., to Finance for payment after scanning a copy and saving them in DMS
  • Coordinate and schedule  insurance meetings

 

PDPA

  • Secretary to PDPA Steering Committee - coordinating of meeting and presentations, taking minutes and managing the PDPA Ticket systems (generating reports and ensuring tickets are being followed up)
  • Draft emails, notices and presentation materials for PDPA Meetings

 

 

Lunch talks and Seminars

  • Coordinate with venue managers, caterers, equipment providers, etc. for lunchtime talks and other seminars 
  • Track replies from attendees of meetings/talks/seminars, draw up list of attendees and take attendance during talks/seminars
  • Track attendance of such trainings and send them to HRD for p-filing
