Job Description

This position provides authoritative protocol advice to the Ambassador, Deputy Chief of Mission (DCM), their spouses, their office managers, senior Embassy officials and visiting VIP delegations. 

Main Responsibilities:

  1. Provide event management support to the Ambassador and DCM, including the development and maintenance of guest lists, monitoring RSVPs and ensuring that the event itself runs smoothly. 
  2. Link between the Embassy and Ambassador’s contacts, with responsibility for facilitating these relationships, researching biographical information and keeping records of contacts up to date. 
  3. Maintain and liaise with highest level contacts of host government (MFA/Protocol and other Ministries). 
  4. Manage the Embassy’s Contact database; develops and implements operating procedures, provides guidance, conducts training sessions, and supervises all Users. 
  5. Cultivate and maintain a robust network of government, business, diplomatic community, and other key contacts. 
  6. Act as a guide and resource for the house managers at the official residences, providing training for new staff as required.
  7. Manage invitations for Ambassador and DCM and coordinates with Front Office (FO) staff and senior leadership on recommendations and briefing papers as needed.
  8. Lead coordinator on invitations for the annual Fourth of July Independence Day reception.

Job Requirements

  • At least two (2) years of college or university studies in any field or other equivalent post-secondary education, AND a minimum of three (3) years of experience in protocol, conference support or organizing high level social events is required.

OR

  • Successful completion of secondary school education or high school education, AND a minimum of five (5) years of experience in protocol, conference support or organizing high level social events is required.
  • Must have excellent written and oral English communication skills.
  • Must be familiar with Government of Singapore structure, various agencies and departments, procedures, and regulations.
  • Must understand cultural protocols across all Singaporean communities and ethnic groups.
  • Must be competent in MS Office software programs.  
  • Must have the ability to multi-task and possess strong project management or event management skills, tact and diplomacy, and negotiation skills.
